After having supplied a large number of fund-raisers, Jubilations has developed a ten-step model for the administration of a successful fund-raiser using Jubilations cheesecakes as the fund-raiser product. Of course, your fund-raiser will have its own particular cirmcumstances and therefore everything in this model may not apply perfectly. However, maybe you will be able to use parts of it to help make your fund-raiser the biggest ever.
Step One
First and foremost, you should know the amount of money you want to raise. When you sell a Jubilations cheesecake, you should make over $8.00 profit. Therefore, you can easily determine how many cheesecakes you need to sell to raise the proper amount of money. Then determine the following:
- How many cheesecakes per seller will need to be sold for the fund-raiser to succeed
- Flavors of cheesecakes to sell and selling prices for each (two to five flavors is enough normally)
- Any incentives you may want to offer to your top sellers
- Selling period— the dates when your sellers will sell the cheesecakes
- Kickoff meeting date—when you’ll meet with your sellers to explain the fund-raiser to them
- Order collection date—when you’ll meet with your sellers a second time to collect their sales results.
- Jubilations delivery date—when Jubilations will deliver the cheesecakes to you. Normally this is within 10 days of your order placement.
- Seller pickup date—when the sellers will pick up their cheesecakes and deliver them to their customers.
Step Two
Review the above plan with Jubilations or your Jubilations Agent. After review, if you prefer, Jubilations will design a customized selling form with your organization’s name, logo, selling prices, with a cheesecake photo for your sellers to use for selling and order recording. This form will be printed and provided to you at no charge, or can be sent as a file that you can print from your own computer facilities.
Step Three
Organize and announce your initial meeting (or cheesecake party) to present the fund-raiser to your sellers. Involve parents whenever possible, if applicable. If you prefer, Jubilations will provide a sample cheesecake for you to let everyone taste. This will help add credibility to your fund-raising product choice, and will build excitement with your sellers, once they taste how good Jubilations cheesecakes really are.
Step Four
Distribute the custom sales brochures to your group's members that will be selling and explain how the fund-raiser will work. Explain the selling period, delivery period, money collection procedures, etc. Be sure to clarify when money is to be collected, either at the time of the sale or at the time of delivery. We recommend they collect at the time of order placement, so that distribution will be easier when the cheesecakes arrive, since no money will need to be collected at that time. Share your sales goal with your sellers. Have each seller make a personal commitment to his or her sales goal. Make sure their individual goals are high enough. Share the total goal with the group so that they’re all “in it together.” Confirm the date on which the group will meet again at the end of the selling period, to collect the sellers’ orders.
Step Five
Time to sell cheesecakes! Maintain as much contact as possible with the sellers during the selling period, to provide encouragement. If you are using any incentives as a reward to your top sellers, be sure to use the incentives as a way to create healthy competition among your sellers.
Step Six
Have your second meeting to collect all of the orders and compile the results. Recognize your top sellers and reward the incentives, if applicable. Remind the group of what the date for pick up of the cheesecakes is, so that they all will be able to deliver them to their customers promptly. It is also a good idea to set a maximum time for your members to deliver their cheesecakes, so that no supporter has to wait too long for his or her cheesecake to arrive.
Step Seven
Compile all of your orders into a total by cheesecake flavor. DO THIS VERY CAREFULLY! If you miscount, someone won't get the right cheesecake! Place your order with Jubilations or a Jubilations Agent by phone, fax, or email. Jubilations will fax, email, or mail you an invoice. Send your payment to Jubilations.
Step Eight
Jubilations will arrange for truck delivery to your specified address within 10 working days of your order placement. (We must have received your payment prior to delivery.) We will make a daytime appointment for the delivery and will call to be sure the delivery occurred. Be sure to have an appointed place for the delivery (with space for a tractor-trailer to park) and a place for the cheesecakes to be stored, in case you are worried that they may thaw before you can get them all handed out to the sellers. Of course, if you are close enough to Jubilations to come and pick up your order to save the delivery charges, you just need to arrange that date with us.
Step Nine
Have your sellers gather to pick up their cheesecakes for delivery to their customers. Make sure they deliver the cheesecakes by a specified date. Sit back and wait for the compliments. People will actually LOVE what they bought!
Step Ten
Review the results of the fund-raiser and record anything you would change before doing it again next year (or sooner). Go ahead and set the next campaign dates now, and let your sellers and supporters anticipate it. Good luck! You’ve chosen a great product!
